When Would OmegaOS Cost More?

Scaling Thresholds (Free Tier Limits)

ResourceFree LimitWhen ExceededUpgrade Cost
Database (Supabase) 500MB storage, 2GB transfer ~500+ active clients with documents $25/mo (Pro plan)
Edge Functions 500,000 invocations/mo ~16,000 API calls/day $25/mo (included in Pro)
Email (Resend) 3,000 emails/mo ~100 new clients/month $20/mo (5,000 emails)
Auth (Supabase) 50,000 monthly active users Extremely unlikely to hit $25/mo (included in Pro)
Hosting (Cloudflare) Unlimited sites, 500 builds/mo Unlikely to hit $20/mo (Pro plan)
At scale (500+ clients): OmegaOS would cost ~$25-$45/mo. This is still 50-70% cheaper than Podio + Zapier for the same user count, with significantly more functionality.

Cost Avoidance: Gusto & Bench

Gusto Payroll

Current cost: Simple plan starts at $40/mo + $6/person/mo

For 10 employees: $100/mo ($1,200/yr)

Alternatives to reduce/eliminate:

  • Gusto Embedded API — Custom pricing, potentially lower cost as a partner
  • Wave Payroll — $20/mo base in tax-filing states
  • Patriot Payroll — $17/mo + $4/person (Basic)
  • Build in-house — Use IRS tax tables + AZ DOR withholding rates (Phase 6 goal)
Strategy: Keep Gusto integration short-term, build in-house payroll calculator using IRS Publication 15-T tax tables as Phase 6 goal.

Bench Bookkeeping

Status: Bench shut down in December 2024

Previous cost: $3,600/yr (Essential plan)

Free alternatives already available:

  • Wave Accounting — Free accounting, invoicing, receipt scanning
  • OmegaOS — CSV/Excel upload, document categorization already built
  • Yiorgos's own expertise — As a taxation expert, the bookkeeping is the service he provides
Bench is no longer an option (shutdown). Wave Accounting is free and covers basic needs. OmegaOS handles document management.

Audit Protocol

When a New Expenditure Occurs

  1. Add entry to the Expenditure Audit Log above with date, amount, category
  2. Update the monthly total in the Cost Summary stats
  3. Update the Podio comparison if it changes the differential
  4. Add the service to the DevOps Service Inventory
  5. Save receipt/invoice to Supabase storage under /admin/receipts/
  6. If recurring cost > $10/mo, get written approval from Yiorgos

When a New Microservice Is Added

  1. Document the service in the DevOps Service Inventory
  2. Add its cost (even if $0) to this Financial Tracker
  3. Add it to the Dependency Map with fallback plan
  4. Calculate impact on the Podio cost comparison
  5. Update the scaling thresholds if applicable
  6. Create a runbook entry in the DevOps page
